What to Know About Your Presentation

Plenary Presentations are sessions attended by all conference participants. Exact timing is available in the Interactive Program or it will also be confirmed via email by Jo Votolato. We ask that presenters plan to stay within their allotted time to ensure a smooth flow and meaningful engagement for all speakers and attendees.

Oral Sessions include multiple presenters grouped by shared themes. Each presenter is scheduled for 15 minutes of presentation followed by 2 minutes of Q&A. Session groupings and timing can be viewed in the Interactive Program. Please plan accordingly so all presenters have equal time and opportunity for discussion.

Please see below for required forms and key deadlines. If you are presenting in more than one session, please review the underlined items carefully to avoid submitting duplicate information.

Before the conference

Registration (one per person): Due February 13

All presenters must register by February 13 to be eligible for the presenter discounted rates. Register here as a “presenter”.

Disclosure of Conflict of Interest (one per person): Due March 16

Speakers must fully disclose any affiliation (financial or otherwise) with a commercial or other industry interest. Please complete this form (instructions on the form).

Audiovisual (AV) Requirements (one per presentation, only accessible by submitter): Due March 16

Please verify and confirm if you need additional equipment to what is already provided. To do so, please login to your Oxford portal (where you submitted the abstract) and view your submission(s) and for each accepted presentation, answer the newly added AV requirements portion (AV1-6) on page 2 (click on “2” at the bottom of page and disregard any “Submission incomplete” pop-up warnings).

Speaker Bio (one per presentation, only accessible by submitter): Due March 16

Please verify the 50-word bio(s) for each presenter(s). To do so, please login to your Oxford portal (where you submitted the abstract) under the “Authors, Presenters” portion. This bio will be used for the moderator introductions.

Syllabus Summary Paper (one per presentation, only accessible by the submitter): Due March 16

We will be preparing a conference syllabus and must receive content materials for your presentation(s). This can be an updated abstract. If you need help in locating your original abstract submission, email votolato@fasdunited.org. Submit your summary on the Oxford portal (end of page 1).

Slides 16:9 ratio (one per presentation): Due April 11 if you wish for us to pre-upload it onto the on-site computers.

We will provide a laptop for your oral paper/plenary session and will have your powerpoint pre-uploaded. Upload your slides to Dropbox. Please try to title it <session name>_<last name> e.g., Slides_B2iv_Stockton; if you forgot your session number, click here to review the most up to date program.  

Otherwise, please arrive to your session at least 30 minutes prior to the session to upload your presentation, or you may do so in the Speaker Ready Room that will be provided (more info to come closer to the conference).

(If applicable) Filming Consent Form: Only for Plenary Presentations (one per presentation), due April 11.

We will be filming all plenary presentations so people can view it after the conference. Instructions are on the form.

(If applicable) Hotel Accommodation

During the Conference

  1. Pick up your speaker badge and conference materials at the registration desk upon arrival.
  2. Please arrive at your session room at least 30 minutes early to allow time to confirm your presentation is uploaded onto the conference laptop that we will be providing. If you need assistance and an AV technician is not present, please notify your session moderator, who can request support.
