60- or 90-minute Breakout Session Presenter Guidelines

What to Know About Your Presentation

60-minute and 90-minute Breakout Sessions are attended by conference participants who select your session from the program. Exact session timing are available in the Interactive Program below. Your room assignments will be provided closer to the conference.

Please plan your presentation and discussion activities to fit within your scheduled time. 25% of your session must be alloted for audience engagement and questions while ensuring the session concludes on time to support smooth transitions and a positive experience for all attendees.

Please see below for required forms and key deadlines. If you are presenting in more than one session, please review the underlined items carefully to avoid submitting duplicate information.

Before the conference

Registration (one per person): Due February 13

All presenters must register by February 13 to be eligible for the presenter discounted rates. Register here as a “presenter”.

Disclosure of Conflict of Interest (one per person): Due March 16

Speakers must fully disclose any affiliation (financial or otherwise) with a commercial or other industry interest. Please complete this form (instructions on the form).

Audiovisual (AV) Requirements (one per presentation, only accessible by submitter): Due March 16

You will need to bring your own laptop for your presentation. If this is not possible, please let us know.

We have closed the portal where you can update your AV requirements. We will follow up via email if you did not submit it by the deadline to clarify your needs.

Speaker Bio (one per presentation, only accessible by submitter): Due March 16

Please verify the 50-word bio(s) for each presenter(s). To do so, please login to your Oxford portal (where you submitted the abstract) under the “Authors, Presenters” portion. This bio will be used for the moderator introductions.

Syllabus Summary Paper (2000-word limit, one per presentation, only accessible by the submitter): Due March 16

We will be preparing a conference syllabus and must receive content materials for your presentation(s). This can be an updated abstract which can be accessed by Oxford portal. If you need help in locating your original abstract submission, email votolato@fasdunited.org. Please email to Liv, gargiulo@fasdunited.org.

If we don’t receive your syllabus summary paper, we will include the original abstract.

(If applicable) Slides 16:9 ratio (one per presentation): Due April 11.

You are responsible for bringing your own laptop for your presentation. If this is not possible, please let us know in advance so we can make alternate arrangements.

Conference delegates value access to presentation slides. If you grant permission on the AV form (above), your slides will be posted on the conference website shortly after the conference. Please submit either:

  • A PDF version of your slides (maximum 6 slides per page), or
  • Your original PowerPoint file, which we will convert to PDF to prevent copying.

To do so, upload your slides to Dropbox. Please try to title it SLIDES_<session name>_<last name> e.g. SLIDES_C5_Stockton; if you forgot your session number, click here to review the most up to date program.

(If applicable) Hotel Accommodation

Please email votolato@fasdunited.org if you need a room at the discounted rates.

During the Conference

  1. Pick up your speaker badge and conference materials at the registration desk upon arrival.
  2. Please arrive to your session at least 30 minutes prior to ensure a smooth set-up of your computer to the audiovisual equipment that we have arranged to be in the room. If you need assistance and an audiovisual technician is not in the room, please let your moderator know and have them find a technician. You will be notified of your room assignments closer to the conference.
